WORK FLOW (IN SIMPLE STEPS)

  • Firstly, an organization (municipality) is created by super user, along with an admin user.
  • Admin User logs into the system and sets up settings such as:

    ◦ Header to be displayed in sifaris templates and documents,

    ◦ Fiscal Year and set current fiscal year,

    ◦ Set groups for templates,

    ◦ Create and Edit templates and allocate them to groups

  • Admin User creates departments(wards) and a user with role supervisor for the departments
  • Admin also has the ability to set operator user for the wards
  • Supervisor of a ward signs into the system and creates operator users
  • Supervisor also creates executives of the ward
  • Supervisor sets current executive in charge
  • Operator User logs into the system and creates sifaris documents from the available templates

Sifaris (Document Management System) is a product solution for Municipality offices to efficiently manage and deliver services related to the creation, manipulation and regulation of sifaris documents. This product aims to provide a hassle free experience to both service seekers and service providers at different municipal offices by automating the process of creation of sifaris documents from a reusable template. This software application also aims to alleviate hassle in the case of service seekers by providing the service in a fast and easy manner, even at the convenience of their own homes. We are hopeful that it bridges the gap between service providers and seeker, and allows service seekers to fully understand all the requirements for the creation of a sifaris document, by incorporating them into the system. On the other hand, for the service providers, i.e. Government Offices, it makes it easier for them to create new sifaris documents for citizens/applicants, making the process less cumbersome. For admins of said Government Offices, it makes it easier for them to track all the documents and also allows for them to have profiles and histories of everyone who have ever sought a service from their office, at their fingertips.
